Schedule a call, meeting, or task
Open the dialog
Section titled “Open the dialog”- Schedule in the Focus section of a record’s Activity tab, or + Schedule / Add task on any activity tab.
- The top bar’s New menu → New activity, or the shortcuts
c(call),m(meeting),t(task). - Done + Schedule next when completing an activity.
- Right-click an empty day or slot on the calendar → New activity here.
Fill it in
Section titled “Fill it in”- Type — Call, Meeting, or Task. (Email and Note have their own entry points.)
- Subject — pre-filled per type and naming the contact (“Call with Rick Mellen”) until you type your own.
- Notes.
- Due date and time. The quick-date chips set the date in one click: 1 Day / 3 Days / 1 Week / 1 Month / 2 Months / 3 Months. A day count skips weekends — 3 Days on a Friday lands on Wednesday, the same math as the follow-up rule. 1 Week is a literal seven days. The month chips use calendar months (the 28th plus one month is the next 28th).
- Attach to — the records this activity belongs to, as chips.
Tasks have no time. A task is due by a date, so the Time control is hidden for tasks and the calendar sidebar disappears; both come back the moment you switch to Call or Meeting.
The calendar sidebar (calls and meetings)
Section titled “The calendar sidebar (calls and meetings)”While you draft a call or meeting, a sidebar shows that day’s calls and meetings — and your real calendar events when a calendar is connected. Conflicts with clock-scheduled items flag in amber. Tasks never appear there. On a busy day the list scrolls under the date heading and the buttons stay on screen.
Invite the contact
Section titled “Invite the contact”With a two-way calendar and contacts attached, an Invite to calendar event checklist appears (unchecked by default). Ticking a contact adds them as an attendee of the calendar event the CRM creates, so they receive a real invitation from Google or Outlook.
What you should see
Section titled “What you should see”The activity appears in the record’s Focus section and on Tasks immediately. With two-way calendar sync, the event appears in your calendar within a couple of minutes — see Two-way calendar sync.
