Connect your mailbox
Connecting your mailbox does two things: mail you exchange with contacts appears on their timelines, and you can compose and reply from inside the CRM as yourself. Every person connects their own mailbox; any role can.
Connect
Section titled “Connect”- Open Settings → Email (
/settings/email). - Choose Gmail or Microsoft 365 and follow the provider’s sign-in and consent screens. Grant the permissions it asks for — the send permission is what lets you reply from the CRM.
- Back on the page you see your address, the provider, and the sync status.
A provider your deployment has not set up shows as a grayed-out button labeled (not configured) with an explanation. That is a platform setting, not something you did wrong — tell your Admin.
What syncs
Section titled “What syncs”- Inbound mail is checked about every few minutes. A message from an address that matches a contact’s email exactly (ignoring case) becomes an email activity on that contact. Mail from unknown addresses creates nothing.
- Mail you send from the CRM is recorded as you send it; mail you send from your desktop client to a contact syncs the same way as inbound.
- The page also shows your workspace’s BCC-to-CRM address: Bcc it on any email from any client and that email lands on the matching contact.
Reconnecting
Section titled “Reconnecting”Accounts connected before send permission existed show “reconnect to enable replies” — reconnect once and replies work. A mailbox whose grant has expired or been revoked shows an error and needs reconnecting too; see Mailbox disconnected.
Disconnect
Section titled “Disconnect”Disconnect stops syncing and sending. It is a soft disconnect: the messages already on your contacts’ timelines stay, and reconnecting later makes those threads repliable again.
