What the extension captures

With the extension installed and your token saved, the CRM learns from what you look at on LinkedIn. It is observe-only: it reads what is on your screen and never sends anything for you.

  • Messaging and the Sales Navigator inbox — the visible message bubbles in a thread (up to 50 per thread), with the true direction and original timestamps. They appear on the contact’s Conversations tab; Sales Navigator threads carry a Sales Nav badge.
  • My Network — newly accepted connections, when LinkedIn shows a readable “Connected on” date.
  • Profiles — a profile view records the person’s stable LinkedIn ID. For someone who is already a contact, viewing their profile also fills in blanks (About, job title, company; and email or phone from a Sales Navigator lead page). A changed job title is updated to match LinkedIn and a note records what it was before. A changed company, About, email, or phone is never overwritten — the same note reports the difference so you can decide. One note per profile view; never a task.
  • A contact’s recent activity — the posts on their activity page flow into the Newsfeed (when Engagement is on).
  • Your notifications — engagement on your own posts flows into Signals (when Signals is on and you have claimed your identity).

Captures are batched and sent about once a minute. A capture is matched to a contact by Sales Navigator ID, then LinkedIn member ID, then the profile URL. A message from someone who is not yet a contact is kept and attached later, when you add them.

A small badge appears at the bottom-left of the page when the extension does something:

  • ✓ synced N message(s) — the CRM confirmed the capture and linked it to a contact.
  • captured N · not confirmed yet — sent, waiting for the once-a-minute batch.
  • N captured · not linked to a CRM contact — the person is not a contact yet. Open their profile or lead page and use Add to CRM, and the messages attach.
  • paused — this page isn’t recognized (diagnostic captured for support) — LinkedIn changed this page’s layout. Capture stops on that page rather than guessing, and a structure-only diagnostic (element shapes and counts — never names, text, or photos) goes to the platform team so it can be fixed without a screen-share. A genuinely empty page — a prospect who has not posted, a lead with no public email — never shows this.

On the profile of someone who is already a contact, an inline panel shows their open tasks, notes, and recent activity from the CRM — read-only, so you have context before you message them. Turn it off with Show CRM overlay in the extension’s options if you prefer a plain LinkedIn.

If the extension goes quiet, the sidebar shows a warning next to LinkedIn, capture buttons pick up a warning glyph, the Signals page warns, and “Refresh posts” says it cannot sync rather than promising it will. The warning appears only when the feature is on, you have a token, the extension is silent, and no captures have reached the server recently — so a rep on another browser, or one who never set it up, is not nagged. The two states, and the fix for each: Extension not installed and Extension mismatch.
